How PortalLess handles firm and client information.

PortalLess collects the information needed to create upload requests, receive client files, and help accounting firms track document collection.

Overview

This Privacy Policy explains what information PortalLess collects, how it is used, and how firms can manage information submitted through the service. It is an operator-prepared controlled-pilot disclosure and has not been approved by legal counsel. Attorney approval remains required before general availability or an earlier legal or customer-contract trigger.

Information we collect

  • Firm account information, such as firm name, user email address, and workspace settings.
  • Client records created by a firm, such as client name, email address, phone number, and request details.
  • Uploaded files submitted through secure upload links.
  • Basic usage and operational data needed to operate, secure, debug, and improve the service.

How we use information

  • To create firm workspaces and authenticate firm users.
  • To generate upload requests and receive files from clients.
  • To show request status, uploaded file metadata, and missing-file information to authorized firm users.
  • To maintain, secure, troubleshoot, and improve PortalLess.
  • To communicate with firm users about account, product, support, billing, or security matters.

How we share information

  • We do not sell client documents or firm data.
  • We may use infrastructure providers to host, store, process, and deliver the service.
  • We may disclose information when required by law, legal process, or to protect the service and its users.
  • Firms are responsible for determining how they share, download, retain, and use client files after collection.

Firm control and deletion

  • Firms should only request files they are authorized to collect from clients.
  • Firm users can request deletion or export support by contacting PortalLess support.
  • Deletion may be limited where retention is required for security, legal, backup, dispute, or compliance reasons.
  • Uploaded documents should be retained only as long as needed for the firm's business purpose and obligations.

A dedicated privacy mailbox must be verified before live-data activation. Until then, use the support address shown in the PortalLess application and do not email sensitive client documents.
